The new General Data Protection Regulations (GDPR) which came into force on the 25th May 2018 give you more control over how your personal information is used and makes it quicker and easier for you to check and update the information we and other organisations we work with, hold about you. As always, we’ll continue to collect, use, store and share data safely and securely and as a rule we only keep the current year and previous years exhibitor and trade stand information. If you would like your data removing from our system and would no longer like to be contacted, please let us know by contacting the Steam Fair Team at info@driffieldsteamfair.co.uk.
 
I AGREE to allow you to use my data to process my booking, send my passes to me in the post and keep me notified of any important updates about the events you are attending.
 
If you do not consent to us using your data, we cannot process your booking.

In consideration of the acceptance of my being permitted to take part in the steam fair event, I declare that during the full period of the steam fair my entry will be covered by Public Liability Policy including steam fair use and having a limit indemnity of no less than £2,000,000 any one accident.
 
I further declare that in the case of any event taking place on the public highway (wholly or partly) the use of the vehicle hereby entered is covered by insurance as required by the Road Traffic Act 1960 which is valid for the steam fair event as shall take place on roads defined in that act. I confirm that the driver of any vehicle entered holds and not disqualified from holding a license to drive a vehicle of the appropriate class. I understand the offence of dangerous driving and inconsiderate driving of a mechanically propelled vehicle on a road (section 2 and 3 of the Act as amended by the Road Traffic Act 1991)also apply to a public place and that I am liable to prosecution if I drive dangerously.
 
I agree to produce on inspection and request certificate in accordance with the IEE regulations for any electrical equipment.
 
I agree to comply with the event staff of any instructions given.
 
In any dispute at the event it is the event organisers decision that is final.

ALL ENTRANTS MUST HAVE AND PRODUCE CURRENT INSURANCE COVERING INJURIES OR DEATH TO THIRD PARTIES BY THEIR ACTS OR EXHIBITS.
 
ENTRIES MUST BE IN THE NAME OF THE POLICY HOLDER ONLY.
 
VEHICLE PASSES WILL BE SENT TO YOU BEFORE THE FAIR , WRISTBANDS WILL BE GIVEN TO YOU WHEN YOU ARRIVE AND IT IS YOUR RESPONSIBILITY TO PUT ON AND WEAR AT ALL TIMES TO HAVE ACCESS TO THE SITE. NO WRISTBAND. NO ENTRY.

PLEASE READ THESE CONDITIONS CAREFULLY
 
 
A GENERAL
 
1 Neither the Organisers nor the site owners accept any responsibility for accidents, injuries, damage or other actions, which may result in claims arising outside their control.  All participants must ensure that they have adequate insurance cover and that they are aware of, and fully abide by, their responsibilities under the Health and Safety legislation.  Any participant who, in the opinion of the Organisers, is operating in a way that is likely to represent a hazard to themselves or the general public, can be evicted from the rally site at the sole discretion of the Organisers.
 
2 The Organisers reserve the right to amend these regulations, giving notice in writing where possible.  The Organisers cannot be held responsible for additional restrictions imposed by the site owners.  The Organisers reserve the right to evict any participant, his/her employees, associates or persons in any other way associated with the participant, and their property, without prior warning or notice should, in the Organisers opinion, the conduct of that person be in breach of these regulations or in any other way prejudicial to the success or reputation of the individual event or the success or reputation of the Driffield Steam Fair.
 
3 The Organisers will use their best endeavours to ensure that each Fair happens as planned.  In the event of cancellation, for any cause, whether by Act of God, or by the deliberate decision of the Organisers or Venue, or for any other reason, the Organisers will make reasonable attempts, but cannot guarantee, to inform all participants of the cancellation.  No refund will be given and no liability is accepted by the Organisers for any costs, loss of income, etc on the part of any participant as the result of the cancellation.  No warranty as to the success, public attendance, or in any other way connected with the Fair can be given by the Driffield Steam Fair, in particular, no warranty is given as to the composition of the Rally with regard to the numbers or type of attractions, trade stands, catering, exhibits, or in any other way.
 
B BEFORE THE EVENT  –  BOOK EARLY
 4 Payment for traders, autojumble,craft stalls and other concessions
An application for all traders/caterers/craft/other concessions should be accompanied by a BACS payment made payable to Custom Shows details sent to you on request. All payments must reach the appropriate account once a space has been accepted.  If the booking application is accepted passes will be issued accordingly.  Once booked, cancellation is NOT possible, and no refunds will be given.  No liability is accepted by the Driffield Steam Fair for non-receipt of Fair passes, and all participants are advised to ring and check their booking should passes not arrive.  No sub-letting is allowed.  Entry passes are for the sole use of the name Trader, their employees and representatives only, as per their signed application form. Admission to the Fair site will be denied participants who, in the opinion of the Driffield Steam Fair, are in debt to the Company.  In the case of a participant being denied access to the site, no refund will be given and the Driffield Steam Fair will accept no liability for his loss of earnings, his expenses incurred or in any other way.

6 The closing date for the receipt of Exhibit Entry Forms is 12th July 2024.  Late entries may be accepted at the Organisers discretion.
 
C COMING TO THE RALLY
7 Passes
These will take the form of wristbands as follows and will be given to you on the gate, your vehicle pass will be sent to you before the Rally:- 
 
Steam 4 per exhibitor Miniatures and Models 2 per exhibitor
Organs 2 per exhibitor Fairground 4 per entry
Tractors 2 per exhibitor Collections, Memorabilia etc 2 per exhibitor
Stationary Engines 2 per exhibitor Trade/Craft Hall 2 per stand
Cars, Motorbikes, Commercials, Cycles, & Vintage Caravans2 per exhibitor
 
PLEASE NOTE, NO WRISTBAND – NO FREE ENTRY
ADDITIONAL PASSES AVAILABLE ON REQUEST AT AN EXTRA COST OF £12
CAMPING PITCHES ARE FOR 2 ADULTS AND UPTO 3 UNDER 16’S PER EXHIBIT (LARGE STEAM 4 ADULTS AND UPTO 3 UNDER 16’S)
 
Wristbands should be left on for the duration of the Fair and allow entry to and from the Fair site.
 
8 A vehicle, caravan and accompanying party will only be admitted if the appropriate vehicle passes are displayed on the windscreen, and the wristbands, which will have been issued, are worn. Please note it is only 1 caravan/tent/motorhome per exhibit, any extra will need to book public camping space. Please report to the appropriate Section Head to sign in as soon as possible after arrival.
 
9 Admission for Exhibitors and Traders will be permitted from 1pm on the THURSDAY & FRIDAY if camping.  Day entry is between 8-9:30AM .The Organisers reserve the right to deny entrance after then until an appropriate time.  The Fair site will be closed at 17.00 pm and vehicular access will be prohibited from 10.00 pm until 7.00 am the following morning.  
 
10 The vehicle passes do not allow occupants to drive round the site, only to off-load your exhibit, trade stand etc. and then the vehicle must be returned to a suitable parking area.
 
NO BIKES  –  pedal, moped, motorcycle or quad, allowed on the site other than those with exhibitors numbers.
ALCOHOL  –  your attention is drawn to the fact that Drink Driving Legislation also applies to the Fair site.
CARAVAN GAS BOTTLES  –  should be a minimum of 25ft from the adjacent caravan bottle.
 
CARS, TRACTORS, MOTORCYCLES, SMALL COMMERCIALS MUST CAMP IN THE EXHIBITORS CAMPING FIELD WE ARE UNABLE TO ALLOW YOU TO CAMP NEXT TO ANY LARGE STEAM, MINIATURE OR STATIONARY SECTIONS UNLESS THERE IS A VALID REASON.
 
D AT THE RALLY
 
11 Litter
   All Traders will be strictly responsible for their own litter.  All litter must be disposed of in the skips provided before vacating the site.
 
12 MAXIMUM SPEED LIMIT 5 mph – NO EXCEPTIONS
   NO CYCLING ON FAIR FIELD DURING PUBLIC ATTENDANCE HOURS
   NO VEHICLE ACCESS FROM-TO SHOW/CAMPING AREA DURING 10AM-5PM (UNLESS AN EMERGENCY)
   NO DRIVING AROUND SHOW AREA IN YOUR VEHICLE IF CAMPING (UNLESS AN EXHIBIT VEHILCE GOING TO EXHIBIT AREA) 
 
14 Animals
All animals, especially dogs, must be kept under control at all times. The Organisers cannot be held responsible for actions resulting from animals, which remain the entire responsibility of their owners or keepers.  Keepers of dogs, which are allowed to foul the Fair site, will be made to clean the fouling or be evicted.
 
15 Eviction
Should it be necessary under the terms of this agreement to evict any participant from the Fair site no refund will be given and no liability will be accepted by the Organisers for loss of earnings, expenses, costs or damages incurred by the indirect result of this eviction.
 
16 Insurance
All Traders must be covered by Public Liability Insurance with a limit of not less than £2,000,000 any one accident.  Exhibits must be covered by the minimum insurance requirements of the Road Traffic Act if the exhibit is not excluded from use on the public highway, irrespective of whether the exhibit is licensed or not.  They should also be covered by a Public Liability Policy and a Boiler Explosion Policy (where applicable), both Policies have a limit of indemnity of not less than £2,000,000 for any accident, and Sparks and Ashes cover for not less than £100,000.  Boilers of any steam plant must carry a current Boiler Inspection Certificate, documentary evidence of such Insurance and Inspection will need to be produced before participation in the event.
 
E LEAVING THE RALLY
 
17 PLEASE NOTE – NO EXHIBITS TO LEAVE THE SITE BEFORE 5.00 PM ON BOTH DAYS (unless an emergency and you must ask a member of staff or security to escort you off DO NOT LEAVE UN ESCORTED).
 
18 All effects must be cleared by 12 noon on the day following the Fair, unless by previous arrangement with the Organisers, who reserve the right to claim all expenses incurred in the subsequent removal of property or items left remaining on the site after this time.
 
 
IF YOU DON’T TURN UP WITH AN EXHIBIT THAT YOU REGISTERED AND JUST LOOKING FOR A FREE WEEKEND, THEN PLEASE DON’T TAKE UP A SPACE THAT SOMEONE COULD USE. PLEASE BUY A PUBLIC TICKET.
 YOU WILL BE REFUSED ENTRY IF YOU DON’T SHOW THE REGISTERED EXHIBIT. 
SO PLEASE MAKE IT EASIER FOR ALL AND DO THE RIGHT THING.
